This position will reside in the Metro Denver Area of Colorado.

LEVEL OF ACCOUNTABILITY, DECISION MAKING, AND JUDGEMENT

This position is accountable to the VP of Finance and Administration, the CEO, and other members of the executive team and makes decisions in matters that have been delegated to him or her. This position operates within the direction of the VP of Finance and Administration, Executive Team, and within the bounds of business ethics and organizational policies and procedures.

PRIMARY PURPOSE OF THE JOB

Responsible for organizing and managing RMCP administrative activities and services, to promote a productive, effective, and uplifting working environment. This role will have a significant part in planning and overseeing office maintenance, as well as assisting leadership staff with a variety of high quality administrative and presentation needs.

MAJOR TASKS

Key areas of responsibility include but are not limited to the following:

  • Greet and assist office visitors as the first point of contact in the RMCP office
  • Oversee office supply and office furniture, ensuring adequate stock of supplies; maintaining shared office equipment and office furniture
  • Serve as point person with Building Management for office maintenance, upkeep, and employee access; ensuring they meet our needs in a timely and effective manner
  • Manage office vendor relationships as directed through correspondence and day-to-day support
  • Ensure, through direct action and coordination with co-workers, that the RMCP physical office space is appropriately clean and presentable, and that the condition of office furniture and setup is equally presentable and useful.
  • Respond to routine general information requests; telephone calls, email inquiries; miscellaneous mail requests
  • Collect, sort, and distribute mail from PO Box and building mailbox on frequent basis (at least 2 times/week)
  • Assist in coordinating and implementing employee appreciation tasks and events in collaboration with other RMCP staff on an as-needed basis
  • Preparation for meetings, presentations, and training events
  • Organize meetings and arranging appointments
  • Coordinate transport and accommodation

 

QUALIFICATIONS

  • Bachelor’s degree (or combination of education, experience, and training that prepares the candidate to fulfill the responsibilities of this job)
  • One year’s experience in an office setting
  • Awareness of or experience with standard business practices
  • Professional demeanor
  • Ability to exercise excellent judgment, business ethics, and respect for employees’ privacy in regard to sensitive and private personnel matters
  • Excellent oral and written communication skills for internal and external purposes
  • Exceptional organizational skills, attention to detail
  • Proficiency with Microsoft Office including fluency with Word, Excel, and Outlook
  • Proficiency with web-based tools and searches
  • Effective and Positive Communication Skills: For collaboration with co-workers, management, customers, and office guests.
  • Attention to Detail: From ordering office supplies to meeting and presentation preparation activities.
  • Analytical Skills: Are we getting the most out of our resources? Proactive plan for consistent and thoughtful office.

 

PHYSICAL REQUIREMENTS

This position requires the ability to engage in phone conversations and internal meetings. The incumbent must be able to sit for extended periods and have the ability to move about the office by walking or with adaptive equipment. Fine motor skills are required to operate computers, telephones, and other standard office equipment. The incumbent must have the cognitive ability to correctly interpret speech and written materials in English, use simple arithmetic, create and use keywords to conduct successful web-based searches.  Rocky Mountain Crisis Partners is committed to providing an accessible workplace. WORK HOURS

This position is a full time position requiring presence in the office or other assigned locations 40 hours per week.
