This position will reside in the Metro Denver Area of Colorado.

LEVEL OF ACCOUNTABILITY, DECISION MAKING, AND JUDGEMENT

This position is accountable to the CEO, and other members of the executive team and makes decisions in matters that have been delegated to him or her. This position operates within the direction of the CEO and the Executive Team, and within the bounds of business ethics and organizational policies and procedures.

PRIMARY PURPOSE OF THE JOB

The Administrative Assistant is responsible for a variety of administrative and clerical functions in general office operations and reception; as well as assisting the CEO and Executive Team.  Due to the sensitive nature of personnel and financial documents this position will encounter, it requires responsibility for upholding the integrity, confidence, and privacy of organizational and financial and employee-related matters.

MAJOR TASKS

Key areas of responsibility include but are not limited to the following:

  • Greet and assist office visitors as the first point on contact in the RMCP office; respond to routine general information requests; telephone calls, email inquiries; miscellaneous mail requests
  • Assist CEO in Board Relations, including but not limited to provision and facilitation of Board Meetings, managing action items and timelines, and administrative needs; maintain professional confidences and collegial relationships accordingly
  • Assist in office vendor relationships through correspondence and day-to-day support; as well as office upkeep
  • Arrange meetings and associated meeting meals, maintain calendars, make travel arrangements
  • Make arrangements for on-site and off-site meetings, conferences, teleconferences, video conferences, PowerPoint chart/agenda production and reproduction and coordinate visitor access, as applicable
  • Assist in coordinating and implementing employee appreciation tasks and events in collaboration with other RMCP staff on an as-needed basis
  • Assist in preparation of meeting, presentation, and training events
  • Support RMCP management staff with miscellaneous projects and tasks as necessary

 

QUALIFICATIONS

  • Bachelor’s degree (or combination of education, experience, and training that prepares the candidate to fulfill the responsibilities of this job)
  • 2+ years of experience performing Administrative Assistant duties
  • Intermediate proficiency in Microsoft Applications (Outlook, Excel, PowerPoint, Word)
  • Demonstrated ability to coordinate special events (e.g., small and large multi-discipline group meetings and conferences, teleconferences, and/or videoconferences)
  • Managing travel arrangements
  • Team-player, phone and email etiquette, strong written and verbal communication skills
  • Strong initiative and exemplary organizational skills
  • Ability to exercise excellent judgment, business ethics, and respect for employees’ privacy in regard to sensitive and private personnel matters

 

PHYSICAL REQUIREMENTS

This position requires the ability to engage in phone conversations and internal meetings. The incumbent must be able to sit for extended periods and have the ability to move about the office by walking or with adaptive equipment. Fine motor skills are required to operate computers, telephones, and other standard office equipment. The incumbent must have the cognitive ability to correctly interpret speech and written materials in English, use simple arithmetic, create and use keywords to conduct successful web-based searches.  Rocky Mountain Crisis Partners is committed to providing an accessible workplace. WORK HOURS

This position is a part time position requiring presence in the office or other assigned locations 20 hours per week.
